Essential Functions of a Project Manager Essay The Essential Functions of a Project Manager A project manager (PM) is a facilitator. The ideal project manager does whatever it takes to ensure that the members of the project team can do their work. This means working with management to ensure they provide the resources and support required as well as dealing with team issues that are negatively impacting a teams productivity. The project manager must possess a combination of skills including the ability to ask penetrating questions, identify unstated assumptions, and resolve personnel conflicts along with more systematic management skills. This person is responsible for initiating, planning, executing, controlling and closing a project. The actions of a project manager should be almost unnoticeable and when a project is moving along smoothly people are sometimes tempted to question the need for a project manager. However, when you take the skilled project manager out of the mix, the project is much more likely to miss deadlines and exceed budgets. The project manager is the one who is responsible for making decisions in such a way that risk is controlled and uncertainty minimized. Every decision made by the project manager should ideally be directly benefit the project. A successful PM must simultaneously manage the four basic elements of a project: resources (people, equipment, material), time (task duration, dependencies, critical path), money (costs, contingencies, profits), and most importantly, scope (project size, goals, profit). All these elements are interrelated. Each must be managed effectively. All must be managed together if the project, and the project manager, is to be a success. The Scope element of a project is the most important and it is the first and last task for a successful project manager. First and foremost you have to manage the project scope. The project scope is the definition of what the project is supposed to accomplish and the budget (of time and money) that has been created to achieve these objectives. It is absolutely imperative that any change to the scope of the project have a matching change in budget, either time or resources. If the project scope is to build a building to house three widgets with a budget of $100,000 the project manager is expected to do that. However, if the scope is changed to a building for four widgets, the project manager must obtain an appropriate change in budgeted resources. If the budget is not adjusted, the smart project manager will avoid the change in scope. Usually, scope changes occur in the form of scope creep. Scope creep is the piling up of small changes that by themselves are manageable, but in aggregate are significant. It is necessary to make sure any requested change, no matter how small, is accompanied by approval for a change in budget or schedule or both. A PM cannot effectively manage the resources, time and money in a project unless you actively manage the project scope. When the project scope is clearly identified and associated to the timeline and budget, the PM can begin to manage the project resources. These include the people, equipment, and material needed to complete the project. A successful PM must effectively manage the Resources assigned to the project. This includes the labor hours of the designers, the builders, the testers and the inspectors on the project team. It also includes managing any labor subcontracts. However, managing project resources frequently involves more than people management. The project manager must also manage the equipment used for the project and the material needed by the people and equipment assigned to the project. Managing the people resources means having the right people, with the right skills and the proper tools, in the right quantity at the right time. It also means ensuring that they know what needs to be done, when, and how. And it means motivating them to take ownership in the project too. Managing direct employees normally means managing the senior person in each group of employees assigned to your project. These employees also have a line manager to whom they report and from whom the usually take technical direction. In a matrix management situation, like a project team, the PMââ¬â¢s job is to provide project direction to them. Managing labor subcontracts usually means managing the team lead for the subcontracted workers, who in turn manages the workers. The equipment a PM has to manage as part of the project depends on the nature of the project. A project to construct a frozen food warehouse would need earth moving equipment, cranes, and cement trucks. For a project to release a new version of a computer game, the equipment would include computers, test equipment, and duplication and packaging machinery. The project management key for equipment is much like for people resources. They have to make sure workers have the right equipment in the right place at the right time and that it has the supplies it needs to operate properly. Most projects involve the purchase of material. For a frozen food arehouse, this would be freezers, the building HVAC machinery and the material handling equipment. For a project to release a music CD by a hot new artist, it would include the CD blanks, artwork for the jewel case, and press releases to be sent to deejays. The project management issue with supplies is to make sure the right supplies arrive at the right time. All the skill in managing resources wont help, however, unless the PM can stic k to the project schedule. Time management is critical in successful project management. Time management is a critically important skill for any successful project manager. Project managers who succeed in meeting their project schedule have a good chance of staying within their project budget. The most common cause of blown project budgets is lack of schedule management. Fortunately there is a lot of software on the market today to help manage project schedule or timeline. Any project can be broken down into a number of tasks that have to be performed. To prepare the project schedule, the project manager has to figure out what the tasks are, how long they will take, what resources they require, and in what order they should be done. Each of these elements has a direct bearing on the schedule. If a task is omitted, the project wont be completed. If the length of time or the amount of resources required for the task is underestimated, the schedule will be missed. The schedule can also be blown if a mistake in the sequencing of the tasks is made. The PM needs to build the project schedule by listing, in order, all the tasks that need to be completed. Assign duration to each task. Allocate the required resources. Determine predecessors (what tasks must be completed before) and successors (tasks that cant start until after) each task. The difficulty in managing a project schedule is that there are seldom enough resources and enough time to complete the tasks sequentially. Therefore, tasks have to be overlapped so several happen at the same time. Project management software greatly simplifies the task of creating and managing the project schedule by handling the iterations in the schedule logic. When all tasks have been listed, resourced, and sequenced, it is noticeable that some tasks have a little flexibility in their required start and finish date. This is called float. A line through all the tasks with zero float is called the critical path. All tasks on this path, and there can be multiple, parallel paths, must be completed on time if the project is to be completed on time. The Project Managers key time management task is to manage the critical path. Be aware, that items can be added to or removed from the critical path as circumstances change during the execution of the project. Installation of security cameras may not be on the critical path, but if the shipment is delayed, it may become part of the critical path. Conversely, pouring the concrete foundation may be on the critical path, but if the project manager obtains an addition crew and the pour is completed early it could come off the critical path (or reduce the length of the critical path). Regardless of how well you manage the schedule and the resources, there is one more critical element called managing the budget. Often a PM is evaluated on his or her ability to complete a project within Budget. If the project resources and project schedule is managed effectively, this should not be a problem. It is, however, a task that requires the project managers careful attention. Each project task will have a cost whether it is the cost of the labor hours of a computer programmer or the purchase price of a cubic yard of concrete. In preparing the project budget, each of these costs is estimated and then totaled. Some of these estimates will be more accurate than others. A company knows what it will charge each of its projects for different classifications of labor. Commodities like concrete are priced in a very competitive market so prices are fairly predictable. Other estimates are less accurate. For instance, the cost of a conveyor system with higher performance specifications that normal can be estimated to be more expensive, but it is hard to determine whether it will be 10% more or 15% more. For an expensive item, that can be a significant amount. When the estimated cost of an item is uncertain, the project budget often includes a design allowance. This is money that is set-aside in the budget just in case the actual cost of the item is wildly different than the estimate. Unusual weather or problems with suppliers are always a possibility on large projects. Companies usually include a contingency amount in the project budget to cover these kinds of things. So a project budget is composed of the estimated cost, plus the contingency and design allowance, plus any profit. The project managers job is to keep the actual cost at or below the estimated cost, to use as little of the design allowance and contingency as possible, and to maximize the profit the company earns on the project. To maximize the chances of meeting the project udget, the PM must meet the project schedule. The most common cause of blown budgets is blown schedules. Meeting the project schedule wont guarantee the project budget is met, but it significantly increases the chances. And above all, management of the project scope is detrimental. PM should not allow the project scope to creep upward without getting budget and/or schedule adjustments to match. Successful project management is an art and a science that takes practice. The ideas presented above can give a basic understanding of project management, but consider it is only the beginning. In order to have a successful career in project managements, it is necessary to talk to successful project managers, read, and practice to acquired experience and confidence.

Poetry on War An Analysis Opening with Auspices, an astonishing performance by Susan Mason which straightaway reminds of the African workers singing blues in 19th Century South American coltures, Poets on War clearly committed to the sufferings of war and imprisonment from the very beginning. Held on 1st February 2017 at the Southbank Centre, London, as part of The Poetry Librarys special edition, which takes place every first Wednesday of the month, the event was based on the participation of four contemporary poets, Ruth OCallaghan, Adnan al-Sayegh, Jenny Lewis and Hylda Sims, who tried to look at war with the sentiments of horror, sympathy and humour. As a result of a splendid collaboration between the diversity of such poets and their poems and the way they decided to lead them, the event immediately took the shades and the features of the so-called world literature, moving from London artistically and linguistically for a couple of hours. Ruth OCallaghan and some extracts from her collection Vortices (Shoestring, 2015) directed the first part of the evening. Approaching the idea of war and borders between countries and people, Ruth discusses and traces conflicts from bibical times to present day, raising the thought-provoking reflection that war has been an unfortunate constant in human beings lives and that poetry has followed it, giving voice to its effects and consequences. Hotel Owner is the poem that opens the first section and meditates on the idea of the hotel as a country without boundaries, in which people could feel safe, live and escape the world outside. 1914, on the other hand, treats the more technical part of the war, accounting for the ways in which slaughters have been perpetrated over history and particularly how death had different ideas in 1914. However, the most interesting points came out from Meine Liebe Mutter, which outlines the horrors of the war touching sensitively and respectfully the theme of son-mother relationship on the background of the Second World War. In concentration camps death had become ordinary and Ruth profoundly describes how the prisoners used to confront it: we never turned our face against the enemy, as killing is an intimate act. This striking idea of a connection between victim and murderer had a chilling impact on the whole audience: it placed a real difficulty in deciding with which part the reader would s ympathise. The relation established is so close but we are still so far from understanding the private, perpetual awareness of death. At last, before ending accompanied by a singing duet by Susan Mason and Emelia Lederleitnerova, Ruth quoted Tony Blair in his famous 1997 victory speech in which he claimed that his would have been the first generation ever not going to war or sending their children to war: as the poet observed after, he did not make the dream last long, declaring war on Talibans in 2001 and giving life to a new generation of soldiers and war poets. The second part of the event left space to the distinguished Iraqi poet-in-exile Adnan al-Sayegh. Experienced imprisonment during the Iran-Iraq war and sentenced to death in 1996 for the publication of the poem Uruks Anthem, Adnan took refuge in Sweden and has been living in London since 2004. His poetry, translated in several languages, is actively political and set against oppression and injustice, demonstrating an intense passion for freedom, love and beauty. In Poets on War, he gave the audience the pleasure to hear his lines recited in Arabic, their original language and then read out loud in translation thanks to the collaboration of Jenny Lewis, writer and teacher in poetry at Oxford University. Adnan transported the audience into another world: the melodic sound of Arabic was incredibly effective in trasmitting the sufferings and despair of the Iraqi experience and gave the event a touch of powerful originality. Delivering the message in the original language, the poet made clear how feelings such as pain and fear are universal and how languages and cultures become a way to make their acquaitance under different perspectives. Wars have broken out terribly equally everywhere and have made people escape their homelands in search of safer places, devastating lives and families: if nowhere is immune to war, then, as it was remarked in Second Song to Inanna/Ishtar, Let poetry be our country. The Iraqi poet actively shared the stage with two wonderful women: Jenny Lewis, who collaborated with him and participated with some poems of hers and Hylda Sims, who elegantly challenged all the skeptics who claim that war cannot be approached with any kind of humour. Gripping her guitar under her arm, she started singing her famous Bin Laden: Bin Ladens in my garden outside Canada Square!Shall I bring him a cup of tea?Im afraid hes got to go! Making the atmosphere lively and vibrant, Hylda gave a huge contribution to the structure of the event: she offered a new modern view on the theme of war by also incorporating the genre of the song and involved the audience in it teaching them her version of Adnans Sketch to sing, which made the small library look much more familiar. Besides being the elder component of the troop of Poets on War, her voice and tone proved to extremely grasp our times with consciousness, from the side of common people. Introducing her poem 21st Century War, which is very much about the 11th September 2001 terroristic attack, Hylda made a salient point about how war is still thriving around us but we are not always directly aware of it, even when we see its brutal consequences: as the events programme stated, The 21st century appears to already have equalled previous centuries for death, displacement, terrorism, political misjudgement and religious conflict and we as historical witnesses should keep a better pace with it. Overall, meant to be a travel in war poetry, this reunion of thoughts successfully caught the attention of the audience by mentioning contemporary and modern issues and by involving them in a friendly, accessible musical environment.

Have you ever seen Jaws? Do you remember that blood-curdling scream as one of the girls was being attacked by the great white? That is how I felt as the sharks started to circle us. You could see the fear in our eyes. You could feel the ocean shudder as we all shook from excitement and trepidation. This is how most people feel about sharks. That is why researchers are trying their hardest to dispel all of the rumors about sharks. The only problem the researchers have is the local governments. They setup regulations banning people from coming in contact with any endangered animal. Sharks are not quite on the endangered list, but they are threatened by man. Until we find out everything we want to know about these animals we will be ignorant to their unique place in the balance of life. I wanted to know more about sharks, so I took the first step; I went to the ocean. This part of our trip to Fiji was the main attraction. All of the other dives led up to this one. We were sitting at the bottom of a reef head, which was about 100 feet below the surface. As we descended, all we could see was this huge tornado of fish and sharks. One kind of fish, the jack, was huge. They were about a foot and a half tall, about six inches wide and about two feet long. There were also about 8 potato groupers. The potato grouper is about a foot long to about three feet long, sometimes weighing in at over 100 pounds. There were hundreds of fish. When we were settled on our perch, the show really began. They came in from the deep blue abyss. Slicing their way through the ocean currents, they judged us with their grayish eyes as they passed. They were testing us, as they got closer every time. The sharks would come in and out of our field of view, passing inches over our heads, as they glided through our bubbles. We could see their scales they were so close to us. Every time they passed, I could feel them brush me with the water. Their tails were so strong that I was pushed over by the water that they moved. Their colors were as different as a personââ¬â¢s skin tones, from gray to blue for their upper bodies, but for their lower bodies it was an off white; almost gray.

Motivation Paper – Organization Behavior
The subject of human motivation is quite complicated for a number of reasons. Firstly, humans mature more slowly than any other organisms on this planet, and for this, the motivational tendencies are acquired more slowly too. Secondly, the individual is dependent on many of his fundamental satisfactions on other people; this is illustrated on his/her use of symbolic language to communicate these needs to others. Motivation is defined as the concept that represents the fundamental influence that drives behavior and providing its direction (Morris et al., 1999, p 284).In organizational behavior the principles in the study of behavior, especially on motivational theories, are applied in the workplace. Such theories help explain what motivates people in their attitudes toward work, their employers and other aspects of employment in general. One major motivational model or theory more often used in organizations and industries is the theory by Abraham Maslow. More prominently called as th e hierarchy of needs, this theory explains an individualââ¬â¢s needs on different levels.On the theory, Maslow defines basic or fundamental needs as the individualââ¬â¢s biological needs like hunger, thirst and rest. Maslow believes that on this basic level lies the ââ¬Å"evolutionâ⬠of the other so-called ââ¬Å"higherâ⬠needs. If the lower levels are not satisfied, the implications mean the individual cannot or will not move onto the higher levels (Morris et al., 1999, p.302).à Maslowââ¬â¢s theory became a phenomenal one especially in industry because of its humanistic desirability; they seemed significant to people. It helps clarify why some work incentives are not effective for some people and situations. However, the company wanted a clear cut procedure on how this will be carried out. The services of OAKZ consultancy was asked to address 4Dââ¬â¢s concerns. OAKZ consultancy drew a blueprint with an initial focus on 4Dââ¬â¢s administrative staff. The rationale: 4Dââ¬â¢s administrative staff has the direct supervision on the companyââ¬â¢s production.They also become the top managementââ¬â¢s echo or voice regarding company policies and direction; hence, the administrative staffââ¬â¢s critical role in the sales and production or rank and file workersââ¬â¢ output. When the staff doesnââ¬â¢t perform to th eir utmost, this has a domino effect on the whole workforce. This was further enlightened by OAKZââ¬â¢ consultancy leadership. After a survey from all levels to look into concerns or problems that plague the company, the OD (Organization Development) consultant gave the following recommendations.Since 4D (population 780 inclusive of -rank & file and middle management/administrative staff) is quite huge by rural/county standards, the company has tried to make their interventions as much as possible on a collective manner rather than on an individual set-up. Motivating the 150 administrative staff members to function to their utmost includes 1.) Looking into their status in the company, whether how many are probationary, casuals, contractuals, and permanent, à to determine the extra incentives they will be receiving; 2.) What privileges and perks have they received as a collective group and as individuals, so far; 3.)What forms will the incentives take: i.e. cash and/or travel pr ivileges, others; 4.) The measures that 4D will use to be able to assess the effects of the incentives to the individual workers (HR Metrics). The OD consultant from OAKZ pointed out that based on the Maslow model (above), an assumption is made that these staff members will perform better when their first three level needs will be secured and this is done through the following step: the company should start to give away additional compensation in the form of increased salary commensurate to the output (quality time, punctuality, initiative, attitude, and participation in meetings and work discussions, etc.) of staff members. Underlying principle:This addresses the satisfaction of biological needs; Security Needs (can provide for more than food plus how to make the home more safe etc);à and Belongingness Needs (more freedom to enjoy friendships because they can now afford, or fiends will appreciate them because they are no longer dependent on other people). à The second importan t feature of the proposed program or scheme is the rotation basis (will schedule) for staff members (could either be by twos) to attend national and/or international conferences for professional growth according to their specialty or would-be specialty. This addresses their Esteem and Self-actualization needs.Today, with the monitoring and guidance of the OD from OAKZ consultancy, 4D industries have started to implement the long-term program. There is high morale in the workplace and the rank and file and production people are influenced by the contagious self-confidence of the middle management.
